Archy is a Series C vertical SaaS solution revolutionizing the dental practice management space — giving dental providers AI agents and software that lets them do what they do best (be dentists!) while we handle the more technical sides of running their practice business.

Job Description

We're looking for a hands-on, execution-oriented People Operations Specialist to help shape the employee experience as our company grows. Reporting to the VP of People, you'll own the day-to-day execution of key People processes — from onboarding and offboarding to payroll processing and employee support — while helping us build more efficient, scalable ways of working and explore how AI can improve People Operations.

This role is ideal for someone who has thrived in an early-stage startup, is comfortable operating with ambiguity, and enjoys both the details and the opportunity to improve how things get done. You'll take pride in getting the operational work right while continuously looking for ways to make our processes simpler, smarter, and more effective.

As the second hire on the People Operations team, you'll have meaningful ownership in how the function continues to evolve. You'll partner closely with the VP of People to strengthen our processes, systems, and employee experience while maintaining a high bar for quality and service as the company scales.

Job Responsibilities

Onboarding & Offboarding

  • Own New Hire Onboarding: Manage the new hire experience from offer acceptance through onboarding, including new hire communications, pre-boarding coordination, and leading new hire orientation to ensure a smooth and welcoming start.

  • Support Core People Operations: Own and support day-to-day People processes, including payroll processing, employee changes, offboarding, benefits administration, and employee questions, with a high degree of accuracy and follow-through.

  • Improve How We Work: Continuously look for ways to simplify and improve People Operations workflows, leveraging AI and automation where it can reduce manual work, improve accuracy, and create a better employee experience.

Employee Support

  • Employee Support: Serve as a first point of contact for employee questions related to pay, benefits, policies, and People processes, providing timely and thoughtful support and escalating complex issues as needed.

  • Documentation & Self-Service: Maintain clear, accurate, and up-to-date FAQs, policy guides, and internal resources that make it easy for employees to find the information they need.

  • Confidentiality & Trust: Handle sensitive employee information with a high degree of discretion, judgment, and professionalism.

IT & Systems Support

  • Systems & Equipment: Coordinate system access and equipment needs for new hires and departing employees, including ordering laptops and supporting provisioning and deprovisioning of accounts, tools, and permissions in partnership with IT.

  • People Systems: Maintain accurate and up-to-date employee records across our HRIS and related systems.

  • Systems Support: Troubleshoot basic access and systems issues, partnering with IT on more complex needs.

Strategic & AI-Enabled Process Improvement

  • Partner with the VP of People to identify opportunities to leverage AI and automation across People processes and programs, including onboarding and offboarding.

  • Pilot and help implement new tools and workflows that improve efficiency and the employee experience.

  • Support the future selection and implementation of an HRIS, including helping evaluate requirements, organize and migrate employee data, test workflows, and support rollout and adoption.

  • Anticipate People Team needs as the company scales, proactively building scalable, repeatable processes and documentation that simplify workflows and reduce manual work over time.

Job Requirements

  • 4+ years of People Operations, HR, or related experience, ideally in a high-growth, early-stage startup environment.

  • Hands-on experience across core People Operations, including onboarding, payroll, benefits, employee support, and HR systems.

  • Experience working with HRIS platforms and People systems; experience supporting an HRIS implementation or migration is a plus.

  • Experience managing EOR relationships and coordinating onboarding and offboarding across the Americas (AMER).

  • Highly organized with exceptional attention to detail, accuracy, and follow-through.

  • Strong communication and interpersonal skills, with the judgment and discretion to handle sensitive and confidential employee information.

  • Comfortable operating within a lean People team, managing competing priorities, and adapting quickly as needs change.

  • Curious about AI and automation and motivated to find ways to simplify workflows, reduce manual work, and improve how People Operations runs.
