Location: Hybrid (Seattle, WA)
Duration: 6 Months (Potential Extension up to 12 Months)
Schedule: Full-Time, Monday-Friday
Target Start Date: September 1, 2026
Experience Level: Entry-Level
Position Overview
We are seeking a detail-oriented and organized Vertical Transportation Coordinator to support the Vertical Transportation Manager within the Facilities Management Department. This temporary position will provide administrative, operational, and compliance support for elevators, escalators, and other vertical transportation assets across the agency. The ideal candidate will possess strong data management skills, excellent communication abilities, and experience working with Microsoft Office applications, SharePoint, and enterprise systems.
Key Responsibilities
- Administer and maintain work order records, asset information, maintenance documentation, and operational data within the Enterprise Asset Management System (EAMS).
- Review, enter, update, and validate work order information to ensure accurate tracking of maintenance, repairs, inspections, testing, and operational activities.
- Monitor inspection and testing documentation to support compliance with operational and regulatory requirements.
- Coordinate with contractors, vendors, internal departments, and operational staff regarding work orders, inspections, documentation, and follow-up activities.
- Maintain electronic records, SharePoint sites, operational tracking tools, and document management systems.
- Assist with invoice processing, record management, and documentation related to maintenance and compliance activities.
- Support invoicing and administrative processes associated with Washington State Department of Labor & Industries code reports and compliance requirements.
- Prepare reports and maintain documentation standards related to vertical transportation operations.
- Assist in developing and updating procedures, work instructions, operational documentation, and reporting processes.
- Provide general administrative and operational support to the Vertical Transportation Manager and Facilities Management team.
Required Qualifications
- Experience with data entry and working within complex computer systems.
- Proficiency in Microsoft Office Suite, especially Excel, Word, Outlook, and Teams.
- Experience using SharePoint for document management and collaboration.
- Strong organizational skills with the ability to manage multiple priorities and maintain accurate records.
- Effective written and verbal communication skills, including professional email communication and basic technical writing.
- Ability to work collaboratively with internal and external stakeholders.
- Strong attention to detail and problem-solving skills.
Preferred Qualifications
- Exposure to or basic understanding of project management practices.
- Minor accounting or invoice-processing experience.
- Experience supporting maintenance, facilities, operations, or asset management functions.
- Familiarity with work order management systems or Enterprise Asset Management Systems (EAMS).

Education
