Job Description

Venesky-Brown’s client, a public sector organisation in Edinburgh, is currently looking to recruit a Portfolio Operations Assistant for an initial 6 month contract on a rate of £14.30 - £15.77/hour PAYE – working 35 hours per week. This role will be hybrid working with at least 3 days working on site.


Responsibilities:


- Working with Project Support Officers with the preparation of workshops at the project initiation stage and throughout the project lifecycle.

- Work with the Portfolio Operations Coordinator to plan and book Service-wide committees, Team meetings and events as part of the annual cycle

- Ensure equipment and office supplies are audited and replaced in order to support the workshops and wider requirements

- Respond to queries from the public, staff, suppliers and stakeholders - primarily via a shared inbox but also in person and by phone - providing a high level of customer service. Judge when a query should be referred to a senior colleague, identify the appropriate person and/or signpost staff to available online resources.

- Other responsibilities as may reasonably be assigned by the Head PMO or relevant delegate within the line management structure.


Essential Skills:


- Vocational qualifications (N/SVQ 2/3, ONC or equivalent) plus typically one year’s relevant work experience OR school education to Standard Grade or equivalent plus typically two years’ relevant work experience.

- Good communication and interpersonal skills, including the ability to work as part of a team, build good relationships and deal with queries in a professional and timely manner.

- Ability to exercise discretion, confidentiality and diplomacy.

- Good time management, with a track record of meeting deadlines.

- Good customer service skills with proven ability to give clear advice to colleagues in a professional manner.

- Ability to use initiative and work with minimal supervision within the parameters of the role.

- The ability to draft correspondence and documents with accuracy, typically using standard formats and templates

Working knowledge of Office 365, with a proven ability to learn how to use web-based (and -other IT packages) packages.

- Well-developed organisational, decision making, time management and prioritisation skills

- Competent numeracy skills

- Versatility and adaptability with the ability to work flexibly and accurately in a dynamic and occasionally pressured environment
