Job Description

  • Support the Project Management Office (PMO) in planning, coordinating, monitoring, and reporting on enterprise IT projects and initiatives.
  • Assist Project Managers with project planning, schedules, milestones, deliverables, dependencies, and resource coordination.
  • Maintain project plans, RAID logs, action-item trackers, status reports, dashboards, and project documentation.
  • Collect project status information from project teams and prepare weekly/monthly executive-level status reports.
  • Track project scope, schedule, budget, risks, issues, assumptions, dependencies, and change requests.
  • Coordinate project governance activities, including PMO meetings, steering committee meetings, project reviews, and status meetings.
  • Prepare meeting agendas, presentations, minutes, action items, and follow-up communications.
  • Monitor project deliverables and ensure activities are completed according to approved timelines and organizational standards.
  • Support financial and budget tracking, including planned versus actual expenditures, forecasts, purchase orders, and resource costs.
  • Maintain project documentation and ensure compliance with PMO standards, policies, procedures, and governance requirements.
  • Identify project risks, issues, and dependencies and work with project teams to document mitigation and resolution plans.
  • Develop and maintain PMO dashboards using Excel, Power BI, SharePoint, or other reporting tools.
  • Support project portfolio management activities by consolidating information across multiple projects and workstreams.
  • Assist with resource planning, capacity tracking, onboarding, and coordination across business and technical teams.
  • Facilitate communication between project managers, business stakeholders, IT teams, vendors, and leadership.
  • Track action items and decisions and follow up with responsible stakeholders to ensure timely closure.
  • Assist with project audits, quality reviews, compliance activities, and documentation required for state/government programs.
  • Support Agile, Waterfall, and hybrid project delivery methodologies.
  • Work with Scrum teams to track sprint progress, backlog items, releases, milestones, and dependencies when applicable.
  • Assist in preparing project presentations and executive communications for leadership and governance committees.
  • Maintain accurate project records in tools such as Jira, Azure DevOps, Microsoft Project, SharePoint, ServiceNow, or similar PMO platforms.
  • Analyze project data and provide insights regarding schedule performance, resource utilization, risks, issues, and overall project health.
  • Ensure project documentation follows established PMO processes and organizational standards.
  • Support continuous improvement of PMO processes, templates, reporting standards, and governance practices.
  • Coordinate across multiple concurrent projects while maintaining strong attention to detail and meeting deadlines.
  • Collaborate with business analysts, project managers, technical leads, QA teams, vendors, and business stakeholders to support successful project delivery.
