Payroll Processor / Tax & GL Reconciliation Specialist
Position Summary
The Payroll Processor / Tax & GL Reconciliation Specialist is responsible for accurately processing multi-state payroll, preparing and filing sales and use tax returns, and performing general ledger reconciliations to support the company’s financial operations. This role requires strong attention to detail, knowledge of payroll compliance, tax regulations, and accounting principles, as well as the ability to manage multiple deadlines in a fast-paced environment.
Key Responsibilities
Payroll Processing
- Process weekly, bi-weekly payroll accurately and on schedule
- Review and verify employee time records, deductions, bonuses, commissions, and reimbursements
- Maintain payroll records and ensure compliance with federal, state, and local payroll regulations
- Process garnishments, child support orders, benefits deductions, and payroll adjustments
- Reconcile payroll reports and assist with payroll-related audits
- Coordinate with HR regarding employee onboarding, terminations, and payroll changes
- Ensure accurate payroll tax reporting and remittance
Sales & Use Tax Administration
- Prepare and file sales and use tax returns for multiple states
- Maintain compliance with varying state and local tax requirements and filing deadlines
- Reconcile sales tax payable accounts and investigate discrepancies
- Monitor tax notices and assist with state tax audits or inquiries
- Maintain exemption certificates and supporting tax documentation
General Ledger & Accounting Support
- Perform monthly general ledger reconciliations, including payroll-related accounts
- Prepare journal entries and supporting documentation
- Assist with month-end and year-end close processes
- Research and resolve account discrepancies
- Support external audits and provide requested financial documentation
- Maintain accurate accounting records and internal controls
Qualifications
- Associate’s or Bachelor’s degree in Accounting, Finance, Business Administration, or related field preferred
- 3+ years of payroll processing and accounting experience preferred
- Experience filing multi-state sales and use tax returns
- Strong understanding of payroll laws, tax compliance, and accounting principles
- Experience with ERP/accounting systems and Paylocity payroll software
- Proficiency in Microsoft Excel and financial reporting tools
- Strong analytical, organizational, and problem-solving skills
- High level of accuracy and attention to detail
- Ability to manage confidential information with discretion
Preferred Qualifications
- Certified Payroll Professional (CPP) designation a plus
- Experience with multi-state payroll environments
- Experience in manufacturing, or project-based industries preferred
- Familiarity with sales tax platforms such as Avalara, Vertex, or similar systems
