Role: Administrative Support Specialist Tool Support

Mode: Temporary through the end of the year - peak work scenario - assessing role/technical automation options (not for hire or longer team so please set proper expectations as "temp")

Profile: Organized, efficient problem solver with effective communications - very administrative and communication-based.

Overview:

  • We're seeking a temporary Administrative Support Specialist to manage tool support operations for our agent teams. This role is the operational backbone for agent tool access ensuring agents have what they need to work, resolving basic tool issues, and cleanly closing out access when agents leave. The ideal candidate thrives in a fast-paced, multi-site environment and can juggle competing priorities without dropping the ball.

Key Responsibilities:

  • Tool Provisioning: Set up and grant tool access for new agents ahead of training/class start dates, ensuring all required systems are ready on day one
  • Basic Troubleshooting: Field and triage tool-related issues; resolve straightforward problems directly and escalate more complex ones to the appropriate team
  • Cross-Functional Liaison: Act as the go-between for agents and technical/support teams, following up on open tickets and keeping all parties updated until issues are resolved
  • Deprovisioning: Promptly revoke tool access for agents who exit the team (attrition), ensuring compliance and security standards are met
  • Tracking & Organization: Maintain accurate, up-to-date records of tool access status across multiple concurrent classes and sites
  • Communication: Provide clear, timely updates to stakeholders (trainers, managers, IT/support teams, agents) on provisioning status and issue resolution

Qualifications:

  • Strong organizational skills; able to track and manage multiple concurrent workstreams across different sites/classes without errors.
  • Excellent written and verbal communication skills
  • Comfortable working cross-functionally and following up with multiple teams to drive issues to resolution
  • Basic technical aptitude comfortable learning new tools/systems and performing first-level troubleshooting
  • Ability to work efficiently and meet deadlines tied to class start/end dates
  • Prior experience in administrative support, IT support, or operations coordination preferred
  • Proficiency with ticketing systems, spreadsheets, or tracking tools a plus
