We are currently looking for a highly organized and proactive Project Coordinator (Software Development) to join our Engineering team. In this role, you will work closely with the CTO, Software Developers, QA, Product, and other stakeholders to ensure software development projects remain organized, tasks are tracked effectively, and engineering processes are consistently followed. This position focuses on project coordination, process compliance, reporting, and ensuring project visibility rather than software development.

Responsibilities
Project Coordination
- Coordinate day-to-day activities across the Software Development team.
- Track project progress and ensure deliverables remain on schedule.
- Follow up with developers on pending tasks and approaching deadlines.
- Escalate delays, blockers, and project risks to the CTO or management.
- Ensure projects remain aligned with agreed timelines and priorities.
Ticket & Task Management
- Monitor and maintain Kayana's internal ticket management system.
- Ensure every ticket has an assigned owner, priority, and target completion date.
- Follow up with developers to keep ticket statuses accurate and up to date.
- Ensure completed work is properly documented before closure.
- Monitor overdue and inactive tickets and escalate where necessary.
- Maintain clean, accurate, and organized project boards.
Process Compliance
- Ensure the Software Development team follows established development workflows.
- Track action items from meetings and ensure timely completion.
- Monitor adherence to internal project management processes.
- Identify process gaps and recommend improvements.
Reporting
- Prepare daily and weekly engineering status reports.
- Maintain project trackers and dashboards for management.
- Monitor and report on:
- Project progress
- Open and closed tickets
- Overdue tasks
- Blocked items
- Team workload
- Delivery timelines
Communication & Coordination
- Coordinate activities between Development, QA, Product, Support, and Management.
- Schedule project meetings, stand-ups, planning sessions, and follow-up meetings.
- Record meeting minutes and monitor completion of agreed action items.
- Ensure priorities and deadlines are clearly communicated across teams.
Documentation
- Maintain project documentation and trackers.
- Ensure project records remain complete and up to date.
- Support continuous improvement of engineering processes.
Requirements
- Bachelor's degree in Engineering, Information Technology, Computer Science, Business Administration, or a related field.
- 2-5 years' experience as a Project Coordinator, Delivery Coordinator, PMO Coordinator, or similar role.
- Experience coordinating software development or technology teams.
- Experience using ticket management or project management systems (experience with proprietary or in-house systems is an advantage).
- Strong organizational and follow-up skills.
- Excellent communication and interpersonal skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Strong reporting skills using Microsoft Excel or Google Sheets.
- Understanding of the Software Development Life Cycle (SDLC).
- Knowledge of Agile software development is an advantage.
Shift Range
We are looking for candidates who can work from our Andheri East office on a 5-day work week. Flexibility to collaborate with global teams across different time zones may occasionally be required.
