We are seeking a talented and resourceful Client Services Associate. The ideal candidate should be able to operate independently as well as a member of a small team. This role will assist in performing a variety of daily tasks so that the team grows their business, runs smoothly, and meets service excellence standards. Responsibilities:


All office administration duties, including, answering phones, emails, setting up client meeting, converting paper document to paperless, postage meter maintenance, annual shredding, etc.

  • Onboarding new clients, assist with client requests, preparing new account forms, client review reporting, etc.
  • Maintain scheduling, within parameters set for multi-advisors.
  • Prepare and run reporting as needed.
  • Process required reporting, distributed to designated parties.
  • Oversee daily office operations and ensure smooth workflow.
  • Manage and coordinate office administrative procedures and systems.
  • Maintain office efficiency by implementing and optimizing office processes.
  • Handle scheduling, planning, and organizing meetings, appointments, and events.
  • Manage office budgets, expense reports, and financial records.
  • Oversee procurement and inventory of office supplies and equipment.
  • Liaise with building management and external vendors for facility maintenance and service contracts.
  • Handle incoming and outgoing correspondence, including mail and phone calls.
  • Manage the office's document management system and ensure confidentiality.
  • Provide administrative support to senior management as needed.
  • Coordinate travel arrangements and accommodations for staff.


  • Minimum 2-3 years of relevant work experience
  • Bachelor's degree preferred
  • Possess a high degree of proficiency with MS Office products including Word, Excel, Outlook, and PowerPoint
  • Able to interface and articulate well with all levels of employees and clients in a highly professional and friendly manner
