Job Description
We are seeking an experienced Epic Project Manager to lead and deliver complex Epic EMR implementation, upgrade, migration, and optimization initiatives for our healthcare organization. The ideal candidate will bring strong PMO discipline, Agile/Scrum delivery expertise, and a track record of driving measurable operational improvements across large, cross-functional healthcare IT programs.
Responsibilities
- Lead end-to-end Epic EMR program and project delivery, including implementations, upgrades, migrations, and system optimizations.
- Manage multiple concurrent Epic workstreams, prioritizing based on urgency, resource availability, and strategic alignment.
- Serve as Project Manager and/or Scrum Master across Agile and Waterfall delivery models, adapting governance approach to project needs.
- Develop and maintain project charters, project management plans, schedules, RAID logs (risks, assumptions, issues, dependencies), and resource capacity plans.
- Own executive and program-level status reporting, ensuring transparency, accuracy, and actionable insights for leadership and stakeholders.
- Facilitate Agile ceremonies (Sprint Planning, Daily Standups, Backlog Refinement, Sprint Reviews, Retrospectives) and maintain Agile artifacts (Product Backlog, User Stories & Acceptance Criteria, Sprint Backlogs, Sprint Goals, Release Plans).
- Track and report team capacity, velocity, and burndown to support delivery predictability.
- Coordinate cutover planning, testing, and go-live readiness activities for Epic deployments.
- Build and maintain strong relationships with executives, clinicians, and IT stakeholders through proactive communication.
- Identify opportunities to modernize PMO reporting and processes, including leveraging AI-assisted tools to reduce manual documentation effort and improve delivery team productivity.
- Develop automated dashboards and reporting solutions (e.g., Smartsheet or equivalent) to centralize sprint, program, and portfolio metrics.
- Manage budgets, timelines, milestones, and scope changes to ensure on-time, on-budget delivery.
- Drive change management and process improvement initiatives that minimize risk and enhance delivery quality.
Requirements
Experience / Qualifications
- 7+ years of experience managing Epic EMR implementations, upgrades, migrations, or optimization projects within healthcare organizations.
- Hands-on experience with Epic modules such as ADT, Ambulatory, ASAP, Beaker, Cadence, Chronicles, Clarity, Cogito, HIM, Healthy Planet, Inpatient, MyChart, OpTime, Prelude, Radiant, Resolute HB/PB, Behavioral Health, Population Health, or Willow (specific module experience relevant to the assignment preferred).
- Demonstrated experience managing 25+ concurrent or sequential Epic/PMO projects.
- Strong background in both Agile/Scrum and Waterfall project delivery methodologies.
- Experience serving as Scrum Master, Project Manager, Delivery Lead, or Practice Director on healthcare IT programs.
- Proficiency with project and portfolio reporting tools (e.g., Smartsheet, MS Project, or equivalent PPM tools).
- Experience developing and maintaining PMO governance artifacts: project charters, project plans/schedules, RAID logs, executive dashboards, resource/capacity plans.
- Familiarity with AI-assisted documentation or reporting tools is a plus (e.g., using AI to generate Agile/PMO artifacts from meeting transcripts or communications).
- Strong track record of revenue cycle, ambulatory, inpatient, or population health project delivery within Epic environments preferred.
- Experience with cutover planning, integration testing, and go-live support for large-scale EMR deployments.
- Excellent stakeholder management and executive communication skills; ability to work cross-functionally with clinicians, IT teams, and business leadership.
- Strong budget, resource, and scope management skills across large, multi-workstream programs.
- Bachelor's degree in a relevant field, or equivalent professional experience.
- PMP, CSM/CSPO, or Epic certifications (e.g., Epic Program/Project Management credentials) are a plus.
