Vendor Relations Clerk I

Schedule: Hybrid — Mon–Thu Onsite / Fri Remote

Job Summary

The Vendor Relations Clerk I supports the Vendor Relations Supervisor/Manager by managing the daily workflow of repair and equipment requests. This role ensures timely coordination with vendors, accurate documentation, and consistent communication with internal and external partners.

Essential Duties & Responsibilities

  • Receive and process customer repair and equipment requests; coordinate vendors to complete work efficiently.

  • Log all incoming issues in designated systems and follow up with vendors and clients to ensure deadlines are met.

  • Provide timely and accurate updates to customers and internal systems.

  • Resolve daytoday vendorrelated issues and collaborate with internal teams to ensure smooth operations.

  • Review vendor quotes and documentation to determine next steps, including part ordering and other service needs.

  • Audit work orders for accuracy to support efficient processing, reporting, and billing.

  • Monitor team inboxes and systems for new or escalated requests; assist with coverage as needed.

  • Manage orders within assigned territory to meet individual and team performance metrics; support other areas when required.

  • Analyze current processes and recommend improvements with a focus on efficiency and continuous improvement.

  • Communicate with external partners—including vendors, intercompany departments, and outsourced providers—to resolve operational issues.

  • Assist with developing and implementing process improvements related to vendor operations.

  • Support onboarding activities for new vendors as needed.

Supervisory Responsibilities

This role does not include supervisory duties.

Qualifications

  • High School Diploma or GED (accredited).

  • Experience with D365 preferred.

Work Environment

  • Frequent use of motor coordination and finger dexterity (e.g., keyboarding).

  • Standard office environment.
