Job Description

Microsoft 365 Copilot Architect (AI Adoption & Enablement)

Onsite Role

Only W2 candidates

Key Responsibilities

1) Copilot Enablement Delivery (Webinars, Demos, Hands on)
• Deliver high-impact live training (virtual / in-person) across Microsoft 365 Copilot experiences (e.g., Copilot in Teams, Outlook, Word, PowerPoint, Excel, and other supported M365 surfaces).
• Run role-based webinars, feature demonstrations, guided walkthroughs, and hands-on labs that map directly to real work tasks.
• Create and manage recorded training assets for asynchronous consumption (session recordings + quick reference guides).
• Facilitate office hours / clinics to reinforce learning, answer questions, and address user barriers (confidence, trust, relevance, and responsible use).

2) Prompt Writing & “Prompt Coaching” at Scale
• Train users on prompt fundamentals (context, goal, constraints, tone, structure, grounding, iteration).
• Build and maintain a persona-based prompt library and “best prompts” patterns aligned to common workflows.
• Provide “prompt coaching” during labs/clinics to improve quality of outcomes and reduce trial-and-error fatigue.

3) Persona Creation + Day-in-the-Life (DITL) Interviewing
• Lead persona discovery by interviewing business users and managers to understand:
o daily activities, information flows, documents, meetings, decision points, and pain areas
o where Copilot can reduce cycle time, improve quality, or automate drafting/summarization
• Conduct 10–15 structured interviews across roles (or as per program plan) and synthesize insights into role-based scenario maps.
• Translate insights into Top priority use cases and training tracks (focus on what drives real adoption, not generic feature training).

4) Design Thinking Workshops (Use-Case Identification & Workflow Mapping)
• Plan and facilitate design thinking sessions to capture:
o user journeys, workflow steps, “moments that matter,” friction points, and success criteria
• Convert workshop outcomes into:
o a prioritized use-case backlog
o role-based enablement journeys (basic → intermediate → advanced)
o practical labs that replicate daily work tasks

5) Learning Design: Lesson Plans + Persona-Based Paths
• Develop end-to-end lesson plans that include:
o objectives, prerequisite readiness, demo scripts, exercises, expected outcomes, and evaluation rubric
• Create persona-based learning paths for key functions such as:
o Finance, Legal/Compliance, Sales, HR, Operations, Executives (as applicable)
• Maintain reusable assets: slide decks, facilitator guides, learner workbooks, lab guides, Q&A sheets, and troubleshooting tips.

6) Change Corners / Change Kiosks / Community Building
• Run Change Corners (open houses) to enable two-way communication: what’s working, what’s blocked, what users need next.
• Support a champion / change agent network through train-the-trainer enablement, reinforcement content, and recognition mechanisms.
• Build community engagement via the adoption hub and internal channels (Teams/Viva Engage where used).

7) Adoption Campaigns + Communications (Awareness → Habit)
• Design and execute targeted campaigns:
o “Copilot Tips & Tricks” by persona
o “Use-case of the week”
o “Prompt of the week”
o success stories and leader messaging
• Partner with Communications/OCM leads to maintain cadence and reduce change fatigue.

8) Value Realization: ROI & Adoption Measurement Support
• Work with program leads to measure adoption and value:
o cohort ramp-up, attendance, engagement, satisfaction, scenario usage
o qualitative insights + “hours saved” narratives by persona
• Enable and interpret adoption dashboards and reinforce improvements based on trends.
• Drive outcomes aligned to the program’s adoption goals (e.g., scaling MAU, internal trainers certification, measurable ROI dashboards).

9) Train-the-Trainer (TTT) & Capability Transfer
• Lead and certify internal trainers (train-the-trainer model), enabling transition of ownership to client teams (e.g., 30+ certified internal trainers target).
• Provide trainer toolkits: facilitator scripts, demo environments, lab packs, scenario library, and FAQs.

10) Continuous Learning & Feature Velocity Readiness
• Maintain a structured mechanism to:
o track Microsoft Copilot feature updates
o update training materials and labs rapidly
o brief stakeholders on what’s new and how it impacts workflows
• Demonstrate sharp onboarding curve and adapt content during delivery without disrupting cadence.
