Role Overview

The Facility Coordinator will assist the ANZ Workplace Lead with operational activities and lead their location as the main local point of contact for the branch and any operational requirements. The Facility Coordinator will take pride in the office and ensure employees, clients and visitors have an enjoyable experience within our clients' space.

Responsibilities
  • General Operations
    • Oversee reception and human experience activations, accounting and finance, address office requests, maintenance and operations, upkeep of office space, invoice verification and submission for payment processing, occupancy services and helpdesk.
  • Client / Stakeholder Management
    • Provide superior customer service to meet on site client expectations.
    • Interact with client points of contact regularly to understand needs and upcoming important meetings, events and provide necessary support.
  • Procurement & Vendor Management
    • Assist in management of all contractors on site to ensure they perform to required standards (including inspection of vendor works).
    • Assist in procurement of vendors and services as required.
  • Finance Management
    • Assist in financial processes to ensure all financial management requirements are completed in a timely and accurate manner.
    • Ensure prompt and accurate management of purchase orders.
    • Invoice verification and submission for payment processing.
  • Health & Safety Management
    • Conduct regular audits to ensure safety procedures on site are in place and working.
    • Assist in carrying out safety procedures when needed.
  • Site Operations Management
    • Assist in implementation of Industry Best Practice operations.
    • Conduct site inspections and assessments to ensure all building procedures and performance measures are always maintained.
    • Seek ways to constantly reduce costs and improve operational standards.
    • Always maintain premises in neat and good working condition.
    • Maintain duplicate office keys in good order.
    • Assist with reception desk coverage daily.
    • Provide support for meeting room bookings.
    • Coordinate with pantry/cleaning staff for kitchen area upkeep, top up kitchen consumables, pack/unpack dishwashers and tidy the kitchen area.
  • Risk Management
    • Assist in implementation and management of property risk management program.
    • Support implementation and monitoring of disaster recovery and business continuity plans.
    • Follow established escalation procedures and incident reporting procedures.
    • Adhere to JLL business conduct by ensuring compliance with the firm's guidelines, procedures and strategies.
