Executive Assistant to C-Suite



Overview

A highly successful and fast-growing global investment management firm is seeking an experienced Executive Assistant to provide dedicated support to a senior C-suite executive. This is a true business partnership role for someone who thrives in a fast-paced environment, operates with a high degree of discretion, and enjoys being the go-to person for a dynamic leader.

The ideal candidate is proactive, highly organized, and able to anticipate needs before they arise. They will serve as a partner to the executive, ensuring priorities are managed seamlessly and day-to-day operations run efficiently.



Key Responsibilities

  • Manage complex and ever-changing executive calendars across multiple time zones
  • Coordinate extensive domestic and international travel arrangements, including detailed itineraries
  • Prepare and manage expense reports and related documentation
  • Organize meetings, conferences, and executive events
  • Act as a gatekeeper and liaison between the executive and internal/external stakeholders
  • Prioritize competing demands and adjust quickly to shifting business needs
  • Handle highly confidential information with professionalism and discretion
  • Coordinate with other executive assistants and support teams to ensure seamless communication and execution
  • Assist with special projects and ad hoc requests as needed


Qualifications

  • 10+ years of Executive Assistant experience supporting senior leadership
  • Significant experience supporting C-suite executives
  • Demonstrated ability to manage multiple priorities in a high-pressure environment
  • Exceptional organizational and time management skills
  • Strong written and verbal communication abilities
  • Highly proactive with the ability to anticipate challenges and resolve issues independently
  • Professional, polished, and adaptable demeanor
  • Strong sense of ownership, urgency, and accountability
  • Proficiency with Microsoft Office Suite and modern collaboration tools


Preferred Experience

  • Experience supporting executives within financial services, professional services, technology, or other fast-paced corporate environments
  • Exposure to global organizations and international stakeholder management
  • Experience coordinating complex travel and executive-level meetings


Work Environment

  • Full-time, in-office role based in New York City (some remote flexibility while Principal travels)
