Job Description

Overview

Request for Resources Project Coordinator Services (IT Project Support). Information Services is seeking proposals from qualified vendors under the existing cooperative contract to provide a Project Coordinator to support ongoing IT initiatives. The primary assignment will be to support the implementation of YubiKey authentication devices across the county, along with additional project coordination work as needed.

Project Background

Information Services delivers a range of enterprise technology initiatives to modernize systems, strengthen security, and improve service delivery for residents and staff. These projects often involve implementing new technologies, enhancing existing systems, and supporting countywide operational improvements aligned with strategic priorities. Projects are typically executed in phases, with active efforts focused on planning, coordination, deployment, and user adoption. Work may include onboarding departments, supporting end users, managing technical implementations, and ensuring consistent processes across teams. Many initiatives involve cross-functional collaboration with internal staff, external partners, and state or regional stakeholders. The project team is seeking a Project Coordinator to support the Project Manager and technical teams in executing day-to-day project activities. This role plays a key part in ensuring work is well-coordinated, communication is clear, and project tasks are completed efficiently to support successful delivery across departments.

Scope of Work

  • Coordinating project schedules, meetings, and logistics
  • Tracking tasks, action items, risks, and dependencies
  • Maintaining project documentation and artifacts
  • Supporting status reporting and communications
  • Coordinating across IT teams, business units, and vendors
  • Assisting with rollout activities, including end-user coordination
  • Providing general project support as directed

This role is intended to support project delivery and execution. It is not a project manager role.

Required Qualifications

  • Experience supporting IT projects in a coordination or similar role
  • Strong organizational and time management skills
  • Effective written and verbal communication skills
  • Strong proficiency in Microsoft Office Suite (Excel, Outlook, Microsoft Teams), including experience maintaining tracking tools, coordinating meetings, and supporting team communication in a collaborative environment.

Preferred Qualifications

  • Experience supporting security, identity, or access management projects
  • Experience with hardware or end-user deployment initiatives
  • Public sector or government experience

Position Level

This is a Project Coordinator role. The County is seeking:

  • An early-career project professional with strong organizational and communication skills, or a candidate with relevant coordination experience as outlined below
  • Experience supporting a Project Manager by executing defined tasks, following established processes, and carrying out repeatable activities across multiple deployment cycles with consistency and attention to detail.
  • Experience supporting phased deployments, including executing repeatable tasks, maintaining consistency across cycles, and adapting to refined processes as the project evolves

Vendors should not propose senior-level Project Managers for this role.

Term and Work Schedule

  • Duration: Approximately one (1) year
  • Hours: Full-time (approximately 40 hours per week)

Work Arrangement

  • Hybrid work arrangement
  • Onsite presence is expected whenever necessary for the project
  • County business hours are 8-4:30, but actual work hours may vary.

Deliverables / Performance Expectations

  • Provide consistent and reliable coordination of project activities
  • Maintain accurate and up-to-date project tracking and documentation
  • Support timely communication and reporting
  • Contribute to successful completion of project milestones

Vendors may submit up to two (2) candidates. Each submission must include:

  • Resume for each proposed candidate
  • Brief summary of candidate qualifications and fit for the role
  • Relevant experience aligned to the scope of work
  • Candidate availability and potential start date
