Office Administrator – Roles & Responsibilities

  • Manage day-to-day office operations, administrative activities, and workplace coordination.
  • Handle incoming calls, emails, correspondence, visitors, and general office inquiries.
  • Maintain office records, files, documents, databases, and administrative reports.
  • Coordinate meetings, appointments, conference rooms, calendars, and internal events.
  • Prepare letters, reports, presentations, spreadsheets, invoices, and other business documents.
  • Coordinate office supplies, stationery, equipment, inventory, and vendor requirements.
  • Communicate with vendors, service providers, clients, employees, and external stakeholders.
  • Process purchase requests, invoices, expense reports, and other administrative documentation.
  • Support employee onboarding by coordinating documentation, workstation arrangements, access cards, and basic office requirements.
  • Maintain employee attendance records and support HR with administrative activities.
  • Assist management with scheduling, travel arrangements, meeting preparation, and follow-up activities.
  • Coordinate courier services, mail, shipping, and document distribution.
  • Maintain confidential employee and company information in accordance with organizational policies.
  • Track office expenses and assist with budget monitoring and cost control.
  • Ensure office facilities, equipment, and common areas are properly maintained.
  • Coordinate with IT, HR, Finance, Facilities, and other departments for administrative requirements.
  • Organize company events, employee activities, training sessions, and meetings.
  • Maintain office safety, security, and compliance documentation.
  • Prepare daily, weekly, and monthly administrative reports for management.
  • Identify administrative issues and coordinate timely resolution with appropriate teams.
  • Maintain professional relationships with internal and external stakeholders.
  • Support management and employees with additional administrative tasks and special projects as required.
