The Procurement & Accounts Payable (AP) Administrator bridges both areas, covering operational and administrative volume that sits below Business Partner and AP Specialist scope threshold. The role exists to free Procurement Business Partners for commercial, category, and vendor relationship work, while removing low-value administrative activity from AP.
This is a junior, development-focused role, trained from scratch, with a clear progression path into either Procurement or AP. The Administrator does not negotiate contracts, manage supplier relationships commercially, or make approval decisions; those remain with the Business Partners and AP Manager, respectively.
What you’ll be doing:
Procurement support
- Triage Zip intake submissions, validating completeness, financial coding, and correct routing.
- Manage vendor onboarding administration, including document chasing, compliance checks, and record maintenance.
- Issue purchase orders and P-Cards for spend up to £25,000, escalating anything outside policy thresholds to the relevant Business Partner.
- Administer contracts, including filing, expiry tracking, and document control.
- Handle stakeholder enquiries and low-value administrative requests.
- Run routine operational reporting from Zip, covering PO coverage, open requests, and intake volumes, for the team, Finance, and FP&A.
Accounts payable support
- Process invoices, matching against POs and delivery confirmations.
- Manage the AP inbox, triaging emails and resolving or escalating queries.
- Process employee expense claims in line with policy, and process credit card expenses.
- Support month-end activity, including statement reconciliations and accrual data.
- Maintain supplier records and support the AP Manager on audit requirements.
- Run routine operational reporting from Zip and Unit4, covering open invoices, aged creditors, and payment status, for the team, Finance, and FP&A.
- Identify and resolve invoice mismatches, blocked payments, and coding errors, escalating unresolved exceptions to the AP Manager within agreed SLAs.
- Any ad hoc tasks.
Who you are:
Critical knowledge
- Strong attention to detail and accuracy, particularly around financial coding and compliance checks.
- Ability to triage and prioritise volume, distinguishing routine items from those requiring escalation.
- A structured, process-driven approach to administrative work.
- Clear written and verbal communication for stakeholder and vendor-facing queries.
Critical experience
- No prior procurement or AP experience required; full training provided.
- Some exposure to administrative, finance, or customer-facing operational work is beneficial.
Critical technical, professional and personal capabilities
- Organised and reliable, with a focus on working within policy and process boundaries rather than exercising commercial judgement.
- Proactive with a can-do approach, with a clear understanding of when to escalate issues to a Business Partner or the AP Manager.
- Driven to learn end-to-end processes, building foundational skills with a view to progressing into specialist or Business Partner roles.
- Adaptable to the differing rhythms of two functions, maintaining consistent standards under volume pressure.

Additional Information
This role covers Zip usage across intake triage, PO issuance, vendor onboarding, Brex P-Card issuance, plus operational reporting, and Zip/Unit4 usage for invoice matching and payment processing support. It does not carry negotiation, commercial vendor management, or approval authority. However, the role will have development opportunities for a progression path into Procurement or AP. This builds early competency ahead of future advancement into a potential Business Partner or AP specialist role.
