Job Description

NYCH is seeking experienced Payroll Assistants with strong, hands-on payroll processing and payroll operations experience. The ideal candidate will have at least 2+ years of relevant payroll experience and be comfortable handling payroll calculations, reconciliations, employee pay inquiries, and payroll/timekeeping data across multiple systems.

Candidates whose experience is primarily timekeeping, HR, or general administrative support without substantial payroll processing experience will not be considered.

Required Qualifications

  • High School Diploma required.
  • Bachelor's degree preferred and currently required for potential future conversion to full-time; this requirement may be revised following the client's internal job description review.
  • 2+ years of hands-on payroll processing experience.
  • Equivalent experience may be considered, including:
    • High School Diploma + approximately 4 years of relevant experience, or
    • Bachelor's degree + approximately 2 years of relevant experience.
  • Strong knowledge of payroll processing and payroll operations.
  • Experience calculating wages, overtime, bonuses, deductions, tax withholdings, garnishments, and benefits/401(k) deductions.
  • Experience with Oracle Cloud, PeopleSoft, and/or ADP strongly preferred.
  • Strong Microsoft Office skills, particularly Excel, Word, and Outlook.
  • Strong analytical and problem-solving skills, including retroactive pay and time calculations.
  • Ability to work with multiple systems simultaneously.
  • Strong attention to detail and accuracy.
  • Ability to handle confidential employee and payroll information.
  • Strong written and verbal communication skills.

Key Responsibilities

Payroll Processing

  • Process payroll accurately and timely.
  • Calculate regular wages, overtime, bonuses, deductions, taxes, garnishments, and benefit deductions.
  • Review payroll data for accuracy and resolve discrepancies.
  • Perform retroactive pay and time calculations.

Payroll Systems & Records

  • Enter and maintain employee payroll information in HRIS/payroll systems.
  • Maintain accurate employee records and payroll documentation.
  • Manage and review time-and-attendance information.
  • Work across multiple payroll and HR systems.

Reconciliation & Auditing

  • Reconcile payroll records and identify discrepancies.
  • Review payroll and tax-related information for accuracy.
  • Assist with payroll audits and reporting requirements.
  • Support preparation and maintenance of payroll documentation, including information related to W-2 reporting.

Compliance

  • Follow applicable federal, state, and local payroll regulations.
  • Maintain compliance with payroll tax requirements and applicable labor regulations.
  • Ensure payroll transactions are processed according to established policies and procedures.
