The Compliance Coordinator – Leave of Absence ("Coordinator") is responsible for coordinating the leave of absence process for team members (e.g., FMLA, non-FMLA medical, parental, military, and personal leaves of absence). The Coordinator exercises independent judgment to determine leave eligibility under federal, state, and local laws, as well as company policy. This role also evaluates the sufficiency of documentation for leave approval, return-to-work requests, and medical accommodation requests.
Duties and Responsibilities
- Acts on behalf of the People & Culture department to administer all aspects of the leave of absence process.
- Receives intake information and determines leave eligibility and leave type (e.g., FMLA, non-FMLA medical, parental, military, personal leave) based on federal, state, and local laws, as well as company policies.
- Coordinates the leave of absence program from start to finish, ensuring consistent application of leave procedures in compliance with applicable laws.
- Communicates throughout the leave process with team members and managers to keep all stakeholders informed of leave status. Assists team members with timely submission of required documentation and provides updates regarding work restrictions and accommodations.
- Maintains accurate records for all leave and accommodation cases.
- Prepares and sends all required leave and accommodation notices and documentation within established timeframes.
- Assists the company and team members in navigating complex leave and accommodation cases in accordance with federal, state, and local regulations.
- Receives medical accommodation requests, distributes required paperwork, reviews submitted documentation, and coordinates the appropriate response.
- Partners with management to determine whether requested medical accommodations are reasonable based on work restrictions and business needs.
- Demonstrates knowledge of compliance policies, procedures, and regulations related to leave of absence and accommodations.
- Completes administrative duties for the People & Culture department as needed.
- Responds to internal and external People & Culture-related inquiries and requests.
- Performs HRIS data entry as needed.
- Completes special projects as assigned.
Qualifications
- Bachelor's degree or equivalent experience in Human Resources or a related field preferred.
- 1+ years of Human Resources experience with working knowledge of leave of absence administration and job accommodation processes.
- Excellent written and verbal communication skills.
- Experience supporting a multi-state organization preferred.
- Proficiency with Microsoft Office products.
- Demonstrated ability to work effectively in a high-volume environment while maintaining a high level of customer service.
- SHRM and/or HRCI certification preferred.
- Willingness to attend training, classes, or seminars to stay current on employment legislation and HR compliance best practices.
- Ability to learn quickly.
- Strong attention to detail and critical thinking skills.
- Ability and willingness to respond to team member concerns promptly and accurately.
Working Conditions / Physical Requirements
- Continuously sits and types while performing job duties.
- Frequently communicates verbally and uses eye-hand coordination.
- May occasionally climb, balance, stoop, kneel, crouch, or crawl.
- Frequently lifts and/or moves objects weighing between 10 and 55 pounds.
- Requires close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
- Occasionally stands, walks, bends, and performs repetitive leg movements.
