Job Description

Document Controller – Resident Liaison Officer


Reports to: Contract Manager

Office location: London

Project locations: London and Southeast

Salary: £30,000 – £40,000 DOE

Working Hours: Monday – Friday (8:00 am – 4:30 pm)

Our work focus is:


  • Restoration: external mansion block repair schemes and internal common part refurbishment.
  • Cladding remediation: design and build contracts replacing combustible cladding to residential high-rise buildings.
  • Fire compartmentation: certified fire door installation, repair and maintenance, as well as compartmentation schemes and installation of fire detection and suppression systems.


We are seeking an experienced and highly organised Document Controller / Resident Liaison Officer to join our team.

This is a varied position combining construction document control, project administration and resident liaison. The successful candidate will play an important role in ensuring that project information is accurately recorded, maintained and readily accessible throughout the lifecycle of each project, while providing a professional and approachable point of contact for residents and clients.

You will work closely with the Senior Project Manager, Contract Managers, site teams and wider Delivery Team to ensure project documentation is complete, current and correctly filed, while supporting the effective communication and coordination of works with residents and building occupants.


The ideal candidate will have previous experience in construction document control and/or resident liaison, ideally within occupied residential refurbishment, façade remediation, fire safety or similar construction projects.


Key Responsibilities


Document Control & Project Administration


  • Set up and maintain project folders and document structures on Microsoft SharePoint at the commencement of each project.
  • Manage project documentation throughout the project lifecycle, ensuring information is correctly named, filed, maintained and easily accessible.
  • Maintain accurate registers for drawings, specifications, reports, correspondence, technical information and other key project documentation.
  • Ensure the latest versions of drawings and project information are available to the relevant members of the project and site teams.
  • Maintain effective document revision control and ensure superseded documentation is appropriately archived.
  • Monitor project documentation to ensure required records are being produced and retained by the Delivery Team.
  • Produce a weekly Quality Assurance / Document Control Checklist, highlighting outstanding or missing project information and escalating this to the appropriate Project Manager where necessary.
  • Work proactively with Project Managers, Site Managers and the wider Delivery Team to obtain outstanding project documentation.
  • Maintain records of significant project correspondence and ensure relevant emails and communications are appropriately retained within the project file.
  • Assist Project Managers with issuing and recording project correspondence.
  • Support the administration of project meetings, including preparing information, recording actions and maintaining associated documentation where required.


Resident Liaison


  • Act as a professional and approachable first point of contact for residents and building occupants affected by our works.
  • Develop positive relationships with residents and ensure communication reflects A S Ramsay's service-first approach.
  • Produce and distribute resident communications, including letters, notices, newsletters and project updates.
  • Communicate upcoming works, access requirements, programme information and potential disruption clearly and professionally.
  • Liaise with residents to arrange access to individual properties for surveys, inspections and construction works.
  • Maintain accurate records of appointments, access arrangements and resident communications.
  • Maintain a Resident Liaison Log, ensuring enquiries, concerns, complaints and actions are accurately recorded and followed through to resolution.
  • Work closely with Project and Site Managers to ensure resident enquiries are responded to promptly and accurately.
  • Escalate complaints, safeguarding concerns or sensitive resident matters to the appropriate manager when required.
  • Attend resident meetings, consultations and project meetings where required.
  • Assist with communicating changes to programmes or works that may impact residents.
