Job Title: Senior Epic Willow Inpatient (Willow IP) Analyst
Overview / Summary
The Epic-Certified Senior Epic Willow Inpatient (Willow IP) Analyst is responsible for the design, configuration, optimization, implementation, and ongoing support of the Epic Willow Inpatient Pharmacy application. This role partners with pharmacy leadership, clinicians, IT teams, and operational stakeholders to improve medication management workflows, optimize recurring maintenance processes, and ensure the Epic pharmacy solution supports safe, efficient, and compliant patient care.
The analyst serves as the primary subject matter expert for Willow IP, providing advanced production support, application optimization, process improvement, documentation, and knowledge transfer while collaborating across integrated Epic applications and third-party pharmacy systems.
Key Responsibilities
Epic Willow Application Support
- Provide advanced Tier 2 and Tier 3 production support for Epic Willow Inpatient incidents, service requests, and complex application issues.
- Analyze, troubleshoot, and resolve production issues while meeting established service level agreements (SLAs).
- Perform root cause analysis and implement sustainable solutions to reduce recurring incidents.
- Participate in on-call support and major incident resolution activities as required.
Application Configuration & Maintenance
- Configure, maintain, and optimize Epic Willow Inpatient application settings, including medication records, medication dictionaries, order verification workflows, dispensing configurations, pharmacy queues, clinical decision support, and medication administration workflows.
- Perform application build, testing, validation, and migration activities in accordance with organizational change management processes.
- Support Epic upgrades, patches, Foundation System updates, and ongoing application enhancements.
Process Optimization & Operational Excellence
- Evaluate existing Willow operational processes and identify opportunities to improve efficiency, reduce manual effort, and standardize recurring maintenance activities.
- Lead optimization efforts for recurring Epic pharmacy maintenance, including monthly Medi-Span and drug pricing updates.
- Separate technical analyst activities from pharmacist-required clinical review activities to maximize operational efficiency and reduce pharmacist workload.
- Recommend workflow improvements aligned with Epic best practices, medication safety standards, and organizational objectives.
- Develop sustainable operational processes in preparation for future Epic implementation phases and ongoing production support.
Medi-Span Monthly Update Management
- Perform the technical components of the monthly Medi-Span update process.
- Continuously refine and streamline the update process to minimize manual effort and improve execution time.
- Validate update results and coordinate pharmacist review for activities requiring clinical judgment.
- Develop standardized procedures that enable analysts to complete technical activities while limiting pharmacist involvement to licensed clinical review tasks.
Monthly Drug Pricing Update Management
- Execute the technical components of monthly drug pricing updates within Epic Willow.
- Perform pre-implementation validation by running and reviewing Charge Preview Reports in non-production environments.
- Analyze significant pricing variances and investigate data discrepancies resulting from wholesaler pricing updates.
- Correct data issues and coordinate review with senior Willow team members prior to production deployment.
- Perform post-production validation to confirm pricing accuracy and expected patient charge outcomes.
Documentation & Knowledge Transfer
- Develop and maintain process documentation, standard operating procedures (SOPs), work instructions, validation checklists, and troubleshooting guides.
- Document client-specific workflows, maintenance procedures, and operational standards.
- Train designated analysts and pharmacy team members on optimized maintenance processes and provide knowledge transfer to support long-term operational sustainability.
- Support the ongoing development of knowledge base articles and operational documentation.
Collaboration & Stakeholder Engagement
- Partner with pharmacists, pharmacy technicians, nursing, physicians, revenue cycle teams, and operational leaders to understand business requirements and improve pharmacy workflows.
- Collaborate with Epic application teams, technical services, interface analysts, reporting teams, and third-party vendors to resolve integrated application issues.
- Serve as a trusted advisor on Epic Willow best practices, application optimization, and operational improvements.
Quality, Compliance & Continuous Improvement
- Ensure application configurations comply with Joint Commission, CMS, State Board of Pharmacy, and medication safety standards.
- Participate in system audits, testing, quality assurance activities, and production readiness reviews.
- Identify opportunities for automation, standardization, and continuous process improvement across pharmacy operations.
Required Qualifications
- Current Epic Willow Inpatient (Willow IP) Certification.
- 5 10 years of experience supporting Epic Willow Inpatient within an acute care hospital environment.
- Minimum of 5 years of experience supporting production Epic environments, application optimization, and operational maintenance.
- Demonstrated experience leading workflow optimization and process improvement initiatives.
- Experience supporting Medi-Span updates, drug pricing maintenance, medication management workflows, and pharmacy operations.
- Experience creating standard operating procedures, technical documentation, and knowledge transfer materials.
- Strong understanding of inpatient pharmacy workflows and medication management processes.
- Excellent analytical, troubleshooting, communication, and organizational skills.
- Ability to work independently while collaborating effectively with clinical, operational, and technical stakeholders.
Preferred Qualifications
- Experience supporting Pyxis, Omnicell, BD Alaris, DoseEdge, or other pharmacy automation solutions.
- Experience with Epic implementations, optimization engagements, and large-scale health system support.
