Job Description

We are seeking an organized, analytical, and solutions-oriented Process Manager to design, implement, document, monitor, and continuously improve the operational processes that enable ESG to plan, execute, measure, and improve its work.

The Process Manager provides functional leadership through process ownership, coordination, analysis, and influence. The role works closely with Department Heads to ensure processes are practical, clearly documented, consistently adopted, effectively measured, and continuously improved.

This position does not have direct reports. Department Heads remain accountable for departmental performance, execution, and employee management, while the Process Manager owns the processes that support departmental performance, including planning and scheduling, SOPs, reporting, training, process adoption, and workflow improvement.

DUTIES AND RESPONSIBILITIES

Planning & Scheduling

  • Design, implement, maintain, and continuously improve ESG's production planning and scheduling systems.
  • Maintain Gantt charts, project schedules, milestones, dependencies, and estimated completion dates.
  • Establish standards for scheduling, project tracking, and status updates.
  • Work with Department Heads to maintain accurate and current planning information.
  • Identify scheduling conflicts, dependencies, missing information, and potential delivery risks.
  • Escalate significant scheduling conflicts, delivery risks, and cross-department dependencies to the appropriate leader.
  • Maintain visibility into cross-department project dependencies.
  • Develop and maintain standardized planning tools, templates, and procedures.

Process & SOP Management

  • Design, develop, document, implement, maintain, and improve operational SOPs, workflows, templates, checklists, and process documentation.
  • Work with Department Heads and employees to document current processes and identify improvement opportunities.
  • Establish standards for process documentation and maintain a centralized library of current SOPs and related materials.
  • Review workflows for unnecessary steps, duplication, delays, and recurring issues.
  • Recommend practical changes to improve efficiency, consistency, and communication.
  • Coordinate implementation of approved process changes across relevant departments.
  • Monitor newly implemented processes for adoption, effectiveness, and areas requiring additional support.

Operational Reporting

  • Develop and maintain process metrics, operational reports, dashboards, trackers, and planning tools used by leadership.
  • Monitor project status, schedules, milestones, and process-performance information.
  • Review operational information for accuracy, completeness, and consistency.
  • Identify trends, recurring issues, delays, process gaps, and improvement opportunities.
  • Prepare concise summaries and recommendations for the Director of Operations and Department Heads.
  • Support operational meetings with accurate planning, scheduling, and process information.

Training & Process Adoption

  • Train employees and Department Heads on established SOPs, workflows, scheduling systems, and operational tools.
  • Develop training materials, reference guides, and job aids to support process implementation and adoption.
  • Serve as a resource for employees and departments regarding established processes and operational tools.
  • Conduct refresher training when processes or requirements change.
  • Monitor process adoption and identify areas requiring clarification, training, or additional support.
  • Work with Department Heads to reinforce established processes and communicate approved process changes.

Process Improvement

  • Lead the identification, evaluation, and implementation of practical improvements to assigned processes, workflows, systems, and procedures.
  • Analyze recurring problems, delays, and inefficiencies to identify root causes and improvement opportunities.
  • Evaluate proposed changes for feasibility, operational impact, and organizational alignment.
  • Coordinate assigned process-improvement initiatives through planning, implementation, and follow-up.
  • Work with relevant departments and stakeholders to test, refine, and implement process changes.
  • Monitor results to determine whether improvements achieve their intended outcomes.
  • Update SOPs, workflows, training materials, and related documentation following approved process changes.
  • Maintain visibility into significant improvement initiatives and recommend additional action when results do not meet expectations.

Cross-Department Coordination

  • Serve as a process resource to Department Heads and the Director of Operations.
  • Facilitate communication and coordination when processes or projects involve multiple departments.
  • Clarify process responsibilities, handoffs, timelines, and required information in collaboration with relevant departments.
  • Coordinate working sessions to address cross-department process issues and develop practical solutions.
  • Lead coordination required to implement established processes consistently across departments.
  • Escalate process issues that cannot be resolved through normal coordination to the appropriate leader.
  • Maintain a neutral, practical, and solutions-oriented approach when addressing process issues.
  • Support the Director of Operations with assigned operational projects and process initiatives.
  • May be assigned temporary or ongoing responsibility for coordinating and improving the processes of specific operational functions, such as fabrication, printing, logistics, production, or other operational areas, when specifically designated by the Director of Operations.

Required

  • Experience in operations, process improvement, project coordination, production planning, or a related field.
  • Experience designing, implementing, and maintaining SOPs, workflows, processes, or operational documentation.
  • Experience with scheduling, project tracking, Gantt charts, milestones, or similar planning systems.
  • Strong organizational, analytical, and problem-solving skills with excellent attention to detail and follow-through.
  • Ability to identify operational problems and recommend practical solutions.
  • Ability to design and implement processes across multiple departments.
  • Ability to work effectively with multiple departments and different levels of an organization.
  • Ability to influence and communicate effectively without direct supervisory authority.
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft Excel or comparable spreadsheet and reporting tools.
  • Ability to train employees and leaders on processes and procedures.

Preferred

  • Experience in event production, live events, manufacturing, fabrication, printing, logistics, construction, or a similar operational environment.
  • Experience with project management or production-planning software.
  • Experience developing operational reports, dashboards, or process metrics.
  • Experience training employees and leaders on processes, systems, or operational tools.
  • Project management or process improvement certification is a plus.
