Open AI Lead Admin REMOTE ULTA
Key Responsibilities
- Platform Administration
- Administer the ChatGPT Enterprise workspace, including users, groups, roles, permissions, workspace settings, and platform configuration.
- Manage workspace-level settings for GPTs, apps, connectors, workspace agents, Codex, file uploads, browsing/search, data analysis, and other enterprise features as applicable.
- Configure and maintain role-based access controls, custom roles, approved tools, and access policies for different user groups.
- Partner with the OpenAI account/support team for platform issues, roadmap updates, support tickets, and enterprise feature enablement.
- Identity, Access & Provisioning
- Work with IAM teams to configure and manage SSO, SCIM, domain verification, and automated user provisioning/deprovisioning.
- Coordinate with HR/IT processes to ensure joiners, movers, and leavers are handled correctly.
- Maintain user groups and access tiers aligned to business function, risk level, and approved use cases.
- Support troubleshooting for login, access, authentication, workspace migration, and provisioning issues.
OpenAI documentation specifically calls out identity and provisioning options such as SSO and SCIM for enterprise deployments, including automatic invitations based on IdP group membership.
- Security, Compliance & Governance
- Partner with Security, Legal, Privacy, Compliance, and Data Governance teams to define responsible use policies.
- Help establish guardrails for sensitive data, confidential information, customer data, regulated data, and intellectual property.
- Support audit, compliance, and usage review processes.
- Maintain approved-use and restricted-use guidance for employees.
- Review and help govern custom GPTs, connectors, workspace agents, and third-party app integrations.
- Support enterprise controls such as RBAC, connector access, compliance logging, and IP allowlisting where applicable.
OpenAI has continued adding enterprise controls such as RBAC for connectors, compliance APIs, admin controls, and IP allowlisting for Enterprise and Edu workspaces.
- Adoption & Enablement
- Lead employee onboarding and enablement for ChatGPT Enterprise.
- Create training materials, office hours, FAQs, quick-start guides, and use-case playbooks.
- Partner with business functions to identify high-value productivity, analytics, engineering, operations, HR, marketing, finance, and customer support use cases.
- Build a community of practice or champion network across departments.
- Track adoption, usage patterns, feedback, and areas where additional enablement is needed.
- Support & Operations
- Serve as the primary point of contact for ChatGPT Enterprise operational support.
- Triage user issues related to access, permissions, GPTs, connectors, files, data analysis, workspace settings, and feature usage.
- Create support processes, escalation paths, knowledge articles, and governance workflows.
- Monitor platform changes, release notes, new features, risks, and admin-impacting updates.
- Partner with service desk teams to define L1/L2/L3 support responsibilities.
- Reporting & Metrics
- Track adoption, active users, feature usage, support tickets, training completion, and business impact.
- Provide regular reporting to IT, business, security, and executive stakeholders.
- Define KPIs for enterprise GenAI adoption, such as productivity gains, use-case maturity, responsible usage, and risk reduction.
- Identify underused areas and recommend improvement actions.
Required Skills & Experience
- 5+ years of experience in enterprise SaaS administration, IT operations, collaboration tools, data platforms, or enterprise application support.
- Experience administering tools such as Microsoft 365, Google Workspace, Slack, ServiceNow, Atlassian, Databricks, Salesforce, or similar enterprise platforms.
- Strong understanding of identity and access management concepts, including SSO, SCIM, RBAC, groups, permissions, and user lifecycle management.
- Good understanding of enterprise security, privacy, compliance, and data governance principles.
- Experience supporting large-scale enterprise rollouts, change management, training, and user adoption.
- Ability to work with cross-functional stakeholders including Security, Legal, HR, IT, Data, Engineering, and business teams.
- Strong documentation, communication, troubleshooting, and stakeholder management skills.
- Basic understanding of generative AI, prompt engineering, responsible AI, and enterprise AI risks.
Preferred Skills
- Experience with ChatGPT Enterprise, Microsoft Copilot, Gemini, Claude, or other enterprise GenAI platforms.
- Familiarity with APIs, automation, workflow tools, and integration patterns.
- Experience with data governance, AI governance, or model risk management.
- Understanding of enterprise connectors and how tools access internal content.
- Experience creating training materials, adoption playbooks, and executive usage reporting.
- Familiarity with ITIL, Agile, product ownership, or platform operations.
Experience in a regulated or data-sensitive enterprise environment.
