Finance & Administration Manager

Location: Westchester County, NY

Job Type: Onsite

Salary: $80-130k

Client/Job Summary:

Our client is a global multi-family office and investment firm that is building out a new branch in White Plains and is looking for a Finance & Administration Manager. They are looking for someone to lead their accounting, finance, and administrative tasks in a hands-on, highly visible environment.

The ideal candidate has experience with AP/AR, bank reconciliations, payroll coordination, budget tracking, fixed assets, tax and audit support, vendor management, and financial reporting. You'll have the opportunity to work closely with senior management located around the world and have full autonomy over this function.

Key Responsibilities:

  • Manage day-to-day accounting records, including Accounts Payable and Accounts Receivable.
  • Prepare payment requests and maintain complete supporting documentation.
  • Handle expense verification and reimbursement administration.
  • Maintain employee, vendor, banking, and administrative records.
  • Coordinate payroll and related documentation.
  • Perform and review bank reconciliations.
  • Assist with insurance policies, office lease administration, and vendor contracts.
  • Maintain the Fixed Asset Register.
  • Monitor and report budget versus actual expenditure.
  • Coordinate federal, state, and other tax filings with the Company's CPA/tax advisers.
  • Coordinate the preparation of annual financial statements and audits, as required.
  • Support administrative, corporate, and statutory compliance filings.
  • Assist senior management with periodic financial and administrative reports.
  • Maintain appropriate internal controls and confidentiality over financial information.

Key Qualifications:

  • Bachelor's degree (or greater) in related field
  • 7+ years of experience in an investment company, family office, private equity, financial services, consulting, engineering, holding company, or multi-company corporate environment.
  • CPA designation strongly preferred
  • Must be reliable, highly organized, professional, discreet, and capable of working independently in a senior corporate environment.
  • Strong written and verbal communication skills, attention to detail, confidentiality, and the ability to work closely with senior management are essential.
